Helsinki Business College Ltd's Chief Financial Officer, Merja Vänttinen, and Accountant, Mari-Anne Cifuentes, share their experience with implementing Heeros' financial management software, the collaboration process, and the benefits achieved.
Before choosing Heeros in 2021, HBC had four separate financial management systems in use, including accounting, banking, travel expense management, as well as a reporting and budgeting tool. As two of these were reaching the end of their lifecycle, HBC decided to look for a more comprehensive solution. "We wanted to integrate all financial management software into a single solution, and Heeros provided this opportunity at a competitive price," Vänttinen explains.
The main reason for selecting Heeros was its ability to integrate all financial management functions, including banking, into a single software solution. Additionally, the pricing was fair.

By bringing all essential functions into one place, Heeros streamlined daily financial management tasks, reducing the need for manual data transfers between different software and improving overall efficiency. Previously, employees had to log in to multiple systems with different credentials. With Heeros, processes became significantly simpler and more efficient.
The implementation of Heeros went smoothly. While the new solution required some adjustments to operational processes, they ultimately proved beneficial.
Everything went according to plan. Our daily operations continued without major disruptions — after all, the core principles of financial management remain the same, regardless of the software.

Heeros brought several features that significantly improved financial management processes, especially in accounts payable and receivable. "For example, there is so much automation in accounts payable that manual work is very minimal," Vänttinen describes. Cifuentes adds, "The month-end and year-end processes also run systematically and smoothly." Additional praise goes to the eReceipt feature and the mobile application, both of which enhance usability. Moreover, Fuusor, the budgeting and reporting solution integrated with Heeros, has proven to be an excellent tool.
The software is also user-friendly for those with limited involvement in financial management, such as employees submitting travel expense claims or approving invoices. With everyone using the same platform, there is no need to learn multiple software or manage various login credentials.
Both Vänttinen and Cifuentes are highly satisfied with the comprehensive solution Heeros provides. "There is always room for improvement, of course. For example, some users find certain aspects of travel expense entry challenging, and handling accounting receipts simultaneously with another user can sometimes be tricky," Vänttinen notes.
Communication with Heeros has remained open even after implementation. "What I particularly like is that Heeros' roadmap webinars clearly outline upcoming developments. This helps us stay informed about which issues are being addressed," Vänttinen says. Having a designated contact person has also been a major advantage, ensuring quick assistance in urgent situations.
Looking ahead, future expectations focus on small usability improvements, such as centralized registry management. Additionally, the main hope is that Heeros continues its strong development efforts at the current high level.
