Since 2018, Quadient Finland has been using Heeros eSalary payroll software. At the end of 2023, the need for a local banking solution came up in a discussion with the two parties. However, after discussions the end result was, instead of a banking solution, implementing Heeros Sales Invoices and Heeros Purchase Invoices and integrating them with Quadient’s global ERP.
The situation in the company was quite typical: an international ERP project was underway, and during the implementation phase, it was noticed that the system was not able to fully support all financial management processes locally without additional costs.
Smooth handling of purchase invoices, automated sales invoices matching, and 100% visibility into accounts receivable were top priorities for Quadient. The schedule for implementation was tight and required not only the adoption of Heeros Sales Invoices and Heeros Purchase Invoices but also their integration into the ERP system, as well as a minor modification of Quadient's invoicing process.
Open sales invoices in the old system were also transferred to Heeros Sales Invoices.
The tight schedule, international requirements, and ERP integration put both Quadient and Heeros in a positively challenging situation. People from Quadient in Finland, Sweden, and the Netherlands, along with the Heeros implementation team, worked closely together to meet the deadline.
In practice, Quadient now creates the invoices in the ERP system, from which they are transferred to the Heeros Sales Invoices solution for accounts receivable management. The accounts receivable situation is conveyed from the sales invoices solution back to the ERP system, providing an up-to-date view both locally and internationally. The flow on the purchase invoice side is roughly similar.
The cooperation with Quadient has also been rewarding for Heeros. The project highlighted all of the company’s core competencies: integration expertise, combining local and international financial management, as well as fast and flexible operations.
